How to evaluate an AI tool

• Does it replace a task or just add a tab? The tools worth paying for remove a recurring job — drafting the first version, taking meeting notes, moving data between apps. The ones that don't survive are a chat box bolted onto something you already had.
• Where does your data go, and can you turn training off? For anything touching client or company information, check the data-retention and training policy before you connect accounts.
• Pricing that scales with usage can get expensive fast. Model the cost at your real volume, not the demo.
• Lock-in. Can you export your work and leave? Automations and prompt libraries built inside one platform are hard to move.
• The output still needs a human. Treat every AI tool as producing a draft to review, not a finished result to ship.

What matters less

Model benchmark scores, the number of integrations you'll never use, and "AI-powered" labels on features that are ordinary automation.
